1. Who we are
FairBill("FairBill", "we", "us") operates the website and service at fairbillai.com. We are based in Ukraine and provide an AI-assisted bill review tool for consumers in Europe and other regions.
For privacy questions or requests, contact us at fairbillai@outlook.com.
2. Scope — Ukraine operator, European users
FairBill is operated from Ukraine. If you are in the European Economic Area (EEA), United Kingdom, or Switzerland, we process your personal data in line with the General Data Protection Regulation (GDPR) and equivalent local laws.
If you are in Ukraine, we also respect your rights under applicable Ukrainian data protection law.
3. What we collect
Account data: email address, name (optional), profile image (if you sign in with Google), and a hashed password if you register with email.
Bill uploads: the file you upload (PDF, JPG, or PNG), its name, size, and type, plus the service category you select. Bills may contain personal data about you or third parties (names, addresses, phone numbers, payment details).
Analysis data: AI-generated explanations, summaries, and follow-up questions you ask in the chat.
Usage data: hashed IP address, browser/device information, timestamps, and usage counters used for rate limits and abuse prevention. We do not store your full IP address in plain text.
Cookies: session cookies to keep you signed in and secure OAuth state during Google sign-in.
4. Why we use your data
We process personal data to:
- analyze your bill and show results;
- run follow-up AI chat about your bill;
- create and manage your account;
- enforce daily usage limits and prevent abuse;
- save analyses linked to your account when you are signed in;
- maintain security and improve the service.
Legal bases (GDPR): performance of our service (Art. 6(1)(b)), legitimate interests in security and fraud prevention (Art. 6(1)(f)), and consent where required (Art. 6(1)(a)).
5. AI and third-party processors
Bill content is sent to OpenAI to generate explanations. OpenAI acts as a data processor on our instructions. Their processing may involve servers outside the EEA, including the United States, with appropriate safeguards where required.
We use Googlefor optional sign-in (OAuth). Google's privacy policy applies to that sign-in flow.
Hosting and database services (e.g. Railway, PostgreSQL) store encrypted data in the cloud. We choose providers with reasonable security practices.
6. How long we keep data
Uploaded files: we do not permanently store your original bill file after analysis is complete. Content is processed for the session and discarded; we retain structured analysis results.
Analysis results: kept while your account exists or for guest sessions as needed to show results and enforce limits. Signed-in users can view saved analyses in their account.
Account data: kept until you delete your account or ask us to delete it.
Usage logs: retained for a limited period for security and rate limiting, then deleted or anonymized.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict, or export your personal data, and to object to certain processing.
EEA/UK users may also withdraw consent where processing is based on consent, and lodge a complaint with your local data protection authority.
To exercise your rights, email fairbillai@outlook.com. We respond within the time required by applicable law (typically 30 days under GDPR).
8. Security
We use HTTPS, hashed passwords, hashed IP identifiers, access controls, and other technical measures to protect your data. No online service can guarantee absolute security.
9. Children
FairBill is not intended for users under 16. We do not knowingly collect data from children. Contact us if you believe a child has provided personal data.
10. Changes
We may update this policy from time to time. We will post the new version on this page and update the "Last updated" date. Continued use after changes means you accept the updated policy where permitted by law.
